This policy explains how we handle personal information for people who visit our website, enquire about our services, or become clients. It is not an employee privacy notice.

Information we collect

The information we collect depends on how you contact us:

Contact form — first name, last name, email address, and your message.

Book a Site Assessment form — name, business or building name, premises address, email, phone number, preferred visit date and time, and your message.

Email or phone — whatever you choose to share when you get in touch, and our notes about the enquiry.

Business contacts — if we contact a business about our services, we may hold names, roles, business names, and work contact details.

When you visit the website, basic technical information (such as your browser type and how you use the site) may also be collected to keep the site secure and working. See our Cookie Policy for more.

Please don't put sensitive information — like payment card details, passwords, or alarm codes — into our website forms. Our website does not take payments.

Why we use your information

We use your information to:

• Respond to your enquiry and prepare quotes

• Arrange and carry out site assessments and cleaning services

• Communicate with you about our services and your job

• Keep basic records of our dealings with you

• Meet our legal obligations and handle any complaints or claims

Our lawful basis for most of this is our legitimate interest in running our business and responding to you, and, where relevant, taking steps to enter into or perform a contract with you.

Marketing

If we contact a business to introduce our services, we'll always identify ECOZA and give you an easy way to say no.

We don't treat sending us an enquiry as agreement to receive marketing. You can opt out of marketing at any time — just email hello@ecoza.co.uk or reply to any message and we'll stop. We keep only the minimum record needed to make sure we don't contact you again.

Who we share it with

We do not sell your personal information.

Your information is handled using trusted providers that run our systems:

• Hostinger — our website and contact forms

• Google Workspace — our business email

We may also share information where the law requires it, or where needed to get professional advice or deal with a legal claim. Any sharing is limited to what's necessary.

These providers may process information on servers outside the UK. Where that happens, they use recognised safeguards to protect your data.

How long we keep it

We keep personal information only as long as we need it:

• Enquiries that don't become work — deleted within around 12 months of our last contact, unless still active.

• Client records — kept while you're a client and afterwards only as long as needed for legal or tax reasons.

• Opt-out records — kept as long as needed so we don't contact you again.

Your rights

Under UK data protection law, you can ask to:

• Access the personal information we hold about you

• Correct anything inaccurate

• Delete your information

• Restrict or object to how we use it

• Receive a copy in a portable format, where that applies

Your right to object to direct marketing is absolute — we'll always honour it.
